Greening strategy:
Acted’s greening strategy aims to tackle environmental degradation and climate change while meeting the needs of the most vulnerable who are often those most affected by the deepening environmental crisis. Each Acted employee will adhere to these principles through key green programming responsibilities:
- Contribute towards the adherence and development of the greening strategy plan.
- Explore innovative green programming opportunities and/or solutions within your realm of responsibilities and roles
- Encouraging and promoting environmental safeguarding processes and environmental programming standards in accordance with SOPs and technical guideline notes
Acted PSEAH Policy:
The Project assistant has the responsibility to adhere to the PSEAH Policy (Protection against Sexual Exploitation, Abuse and Harassment). Project assistant has the obligation to complete all mandatory trainings related to the Code of Conduct and the PSEA policy and report any safeguarding concern such as breaches of organisational policies or codes of conduct according to Acted’s procedures. Project assistant carries out work duties in a way that does not harm children, vulnerable adults or other staff or volunteers.
Job Purpose
Under the guidance of the Project Officer and project Manager, the Project Assistant supports the execution and monitoring of ACTED’s technical interventions, either subcontracted. The assistant helps ensure adherence to ACTED’s quality standards, assists in preparing Bills of Quantities (BoQs), selects materials, participates in beneficiary assessments, and contributes to reporting and implementing activities.
The Project Assistant will also ensure that all interventions, particularly those related to innovative agricultural practices such as hydroponic systems, drip irrigation installations, compost production, smart techniques for fodder production, and training activities, are implemented in alignment with sustainable agricultural principles and community-based approaches. This includes overseeing the customization of interventions to meet the unique environmental conditions and needs In Thi-qar.

FUNCTIONS:
- Project Implementation, Planning, and Follow-Up:
1.1. Assist in implementing planned activities to meet ACTED’s quality standards and SOPs.
1.2. Support project teams in strategic planning and activity mapping.
1.3. Assist in preparing BoQs and project designs.
1.4. Facilitate collaboration with line managers and coordination teams.
1.5. Participate in project planning and strategy sessions.
1.6. Support MEAL activities to ensure project accountability and learning.
1.7. Contribute to FLAT Follow-Up reviews for ongoing projects.
1.8. Identify learning and partnership opportunities to enhance project impact.
1.9. Provide support in technical matters and maintain project standards.
1.10. Assist in liaising with FSL initiatives and community groups.
1.11. Support the development and implementation of project exit strategies.
1.12. Aid in communication with relevant technical groups and partners.
1.13. Assist in translating during coordination and field visits.
1.14. Support internal training and capacity-building efforts.
1.15. Help ensure that projects align with community needs.
1.16. Monitor daily labor and subcontractor activities.
1.17. Assist in compiling detailed technical and assistance reports.
1.18. Facilitate positive interactions with local authorities and stakeholders.
1.19. Monitor project timelines and deliverables.
1.20. Collect and disseminate community feedback effectively.
1.21. Support the management of field teams.
1.22. Assist field staff in documentation and compliance with project standards.
- Project Support:
2.1. Assist with beneficiary surveys and data collection.
2.2. Provide support in data analysis and report preparation.
2.3. Assist the Reporting Manager in compiling reports for donors and stakeholders.
2.4. Communicate progress and observations to the Project Manager.
2.5. Ensure the quality and accuracy of data from the field.
2.6. Support the collection of beneficiary complaints and feedback.
2.7. Help prepare weekly and monthly work plans.
2.8. Prepare additional reports as requested by Project Managers.
2.9. Suggest improvements to project processes.
- Filing:
3.1. Ensure accurate and up-to-date filing of all project documents.
3.2. Prepare activity summaries and detailed reports as required.
3.3. Support in handling complaints and queries.
3.4. Assist in final activity reporting and stock verification.
3.5. Maintain comprehensive and organized project files in coordination with the FLAT teams
- Professionalism and Personal Qualities:
4.1. Degree in agriculture or related field.
4.2. At least one year of prior professional experience in a similar post.
4.3. Familiarity with sustainable agricultural practices.
4.4. Demonstrable ability to support project planning and implementation.
4.5. A proactive learner with strong problem-solving skills.
4.6. Effective communication and teamwork skills.
4.7. Proficiency in English and Arabic.
