Description

MAG is a humanitarian organisation clearing the remnants of conflict for the benefit of communities worldwide. MAG is co-laureate of the 1997 Nobel Peace Prize and has been operating in Iraq since 1992. MAG has extensive experience and longevity in Iraq and delivers diverse programmes across emergency and development response projects, including support, training, and collaboration with national NGOs.

Job Purpose

The Support Services Assistant is responsible for the day-to-day sub-sector administrative, HR and Finance functions to ensure effective and efficient operational support in coordination with the Sector Manager.

 

Reporting Structure

The Sector Support Services Assistant reports to the Sector Manager.

 

Base Management / Administration

  • Ensure that the base is maintained, clean and tidy and professional in appearance in all areas.
  • Provide administrative support to resident or visiting international staff.
  • Maintain an office filing system for all correspondence, both internal and external.
  • Updating staff lists for DNGO and JCC approval on a timely manner.
  • Organise any required travel document and letters of permission from the relevant authorities and political organisations in coordination with Sector Manager.
  • Order all stationery and office supplies and maintain adequate stocks.
  • Act as an intermediary for all visitors to MAG and arrange appointments as necessary.
  • Supervise the activities of housekeepers and Guards.
  • Acting as Support Services Coordinator in absence of the Support Services Coordinator on long term.

 

Human Resources

  • Coordinate with Support Service Coordinator to manage the administrative process of recruitment of new national staff.
  • Ensures that pre-employment checks are completed and that all necessary paperwork is received from new staff.
  • Ensures that employment contracts and employment letters are issued to all employees.
  • Organise induction programmes for all new staff in line with MAG policy.
  • Prepares and submit the monthly staff attendance sheets & time sheet to the Support Service Coordinator as required.

 

Finance

  • Ensure that all documentation for payment requests is complete, accurate and duly approved in compliance to the programmes SOPs.
  • Manage cash disbursements in the Sector in the absence of the Sector Manager.
  • Make sure the sub sector transactions are entered into the electronic cashbooks or the accounting software in use in a timely manner. Assist the Sector Manager in ensuring that all sector financial transactions are accurately and promptly entered into the electronic cashbooks or accounting software in use.
  • Ensure that all supporting documents are filed in a logical manner for easy retrieval and access. Ensure that all supporting financial documents are properly organized and filed in a logical manner for easy access and retrieval.
  • Assist the Sector Manager with the financial management aspects in the sector. Support the Sector Manager with day-to-day financial and administrative tasks, including handling petty cash and maintaining proper records of cash transactions. Hold the key to the safe and ensure its security in the absence of the Sector Manager, in line with MAG’s financial control procedures, ensuring a proper and documented handover each time responsibility for the key is transferred.
  • Assist Sector Support Services Coordinator to prepare and submit the monthly salary sheets to the Sector Manager. Ensure that the monthly salary distribution sheets shared with the sector from the Erbil Head Office are properly completed and submitted to the Sector Manager in a timely manner.

Person selection criteria

The post holder should be able to demonstrate the following attributes:

  • Fluency in English and Kurdish written and spoken
  • Excellent knowledge of Microsoft Excel and Microsoft Word and computerized spreadsheets.
  • Problem solving and initiative.
