The Senior Support Officer SSO will manage, support, and monitor the procedures and document related with the support departments HR, Finance and Logistic. The SSO will ensure all procedures are matching ARD polies and inline with the donor requirements. As well as supporting the Head of Support through auditing purchasing and relevant papers.
Responsibilities:
Finance:
- Prepare monthly cash book/bank book, financial reports and budget vs actual statements
- Collection of bank statement on monthly basis and prepare the bank reconciliation statement
- Maintain & monitor Petty Cash in Office and regularly replenish the petty cash and ensure enough cash is available in the office to meet day to day office expenses
- Prepare monthly payroll, collection of staff time sheets and Payroll disbursement
- Ensure timely payment of income tax and social securities
- Keep cheque book & Cash in safe custody
- Produce and maintain up-to-date book-keeping system , Data entry in accounting software (ODOO ) on regular basis
- Prepares budget versus spending and Reviews actual expenditure against budgets regularly and inform to budget holders;
Logistics & Procurement:
- supervise in procurement activities, in collaboration with Operations and Program teams
- Ensure the procurement process is as per the SOPs, with proper documentation supporting all the purchases
- Assist with identification of suitable vendors, collection of price quotes, documentation of procurement process, and management of electronic and paper procurement files
- supervise for circulating RFQs, preparing bid analysis, and issuing purchase orders
- Coordinate all logistical arrangements for project-related events, workshops, seminars, and other training activities
- Responsible for managing & preparing service level agreements for the smooth running of project activities
- Help manage and administer office resources, including office space, assets including laptops, other related office systems and equipment.
Human Resource:
- Assist with long-term and short-term recruitment needs for Ashor.
- Assist with preparing staff contracts.
- Ensure all payroll changes are recorded monthly.
- Ensure all staff files are maintained.
- Ensure all trackers and databases are up-to-date and readily available for management information.
- Assist with the identification, selection, recruitment, training, and orientation of new staff members.
Essential
- Iraqi National
- Fluent Arabic and English
- 3 Years’ experience in a similar role of responsibilitywith NGO or INGO.
- Proven skills in planning and management skills and Team Leader and team work Skills.
- Management capacity and excellent interpersonal communication skills.
- Excellent communication and interpersonal skills; strongly diplomatic and capable of leading on difficult mediation and negotiations.
- Solid programmatic, organizational planning and reporting skills.
Desirable
- Bachelor Degree in, Engineering, Social Sciences or similar Humanities Degree.
- Knowledge of ARD’s regulations and policies, and experience managing high-quality GCERF funded project(s).
- Strong English language skills.
- Excellent knowledge of Microsoft Office (with focus on Excel, Word and PowerPoint)
