Purpose/objective of the position:
The HR-Finance assistant will be responsible for all paperwork related to the HR and Finance Departments in terms of making copies, scanning and stamping, in addition to following up on attendance and making sure that there are signatures on all administrative papers and that they are completed correctly.
Generic Duties:
Human Resources:
- Check monthly attendance sheets for SAD staff, and make the timesheet accordingly.
- Tracking the payslips and collecting the signature from employees.
- Share and submit all the needed information in all intersos centers and offices.
- Update the HR files with all staff information and make scan copies to ensure that have a scan and hard copies on a monthly basis
- Prepare, and track the HR packages and share the necessary document with the coordination by being in touch with the KRI HR department.
- Update IMP and HRMS with the necessary information.
- Ensure that employee related documents are signed on time.
- Support the HRO in downloading attendance logs from the devices in each location.
Finance:
- Assist in maintaining up-to-date financial records SAD journal, ensuring accuracy and completeness.
- Review and verify supporting documents to ensure compliance with INTERSOS and donor requirements.
- Maintain proper filing systems for all financial documents in both hard and soft copies and work on the archiving of financial reports.
- Manage petty cash and perform cash counts with designated staff on a weekly and monthly basis.
- Assist in audits and donor verifications by retrieving and organizing financial documents.
- Report any financial discrepancies to the Finance Officer/Manager.
- Support logistics and procurement teams in ensuring financial documentation matches procurement procedures for weekly liquidity requests.
- Perform other duties as assigned by the supervisor.
Education and professional experience:
- Bachelor’s degree in finance or accounting would be preferred or a degree in business administration, however a relevant diploma or certification in finance or accounting is also considered
- Intuitive and good in administrative works.
Languages:
- Fluency in Arabic
- Good command of English, ability to understand and communicate effectively in most day-to-day situations.
