Design, Fabrication, Supply and Installation of 60 Exhibition Booths – Baghdad Job Fair 2026

Invitation to Submit Quotations

Human for Human (H4H) invites qualified suppliers and companies to submit quotations for the design, fabrication, supply, transportation, installation, and handover of 60 exhibition booths for Baghdad Job Fair 2026.

The contractor shall provide all necessary materials, labor, equipment, transportation, assembly, finishing, and installation services required to deliver the booths ready for use, in accordance with the approved design and technical specifications.

Main Technical Specifications and Scope of Work

The required work includes:

• Floor platform: A reinforced platform with a wood-effect finish, approximately 1.80 m × 2.00 m and 0.10 m high, subject to confirmation in the approved technical drawing.
• Back wall and side supports: Fabrication and installation in accordance with the approved design, using MDF boards of the specified type and thickness and a suitable supporting structure.
• Upper fascia: Fabrication and installation in accordance with the approved dimensions and final technical drawing.
• Reception desk: One white reception desk per booth, with the proposed dimensions of 60 cm width × 45 cm depth × 90 cm height.
• Painting and finishing: Smooth, uniform white finishing, with no visible scratches, defects, or exposed fixing points.
• Lighting and electrical work: Three integrated lighting units per booth, including safe, insulated, concealed wiring and operational testing, subject to the final approved specifications.
• Assembly fittings: All necessary screws, brackets, and connectors to ensure structural stability and, where required, dismantling and reassembly.
• Transportation and handling: Protective packaging, loading, transportation to the event venue, and unloading.
• Installation and handover: Assembly, alignment, safety and finishing checks, removal of work debris, and delivery ready for use.

The attached design image shall serve as a visual reference. Final dimensions, materials, construction details, and any discrepancies between the image and written specifications must be confirmed in the approved technical drawing before fabrication.

Quotation and Pricing Requirements

Suppliers must clearly provide:

• Unit price and total price for the 60 booths.
• Separate prices for optional items.
• Any agreed discount, if applicable.
• Applicable taxes and statutory charges not included in the quoted prices, with the type and calculation basis identified.
• Proposed payment terms and quotation validity.
• Confirmation of transportation, installation, and handover costs.
• Company registration documents and relevant legal supporting documents.

All prices should be clearly identified in the currency requested in the official RFQ form. Any exclusions or assumptions must be stated explicitly.

Delivery and Completion

Project location: Ministry of Youth and Sports, Baghdad Governorate, Iraq.
Event: Baghdad Job Fair 2026.
Required completion date: 14 November 2026.

The supplier shall ensure that all booths are installed, inspected, cleaned, and ready for use by the agreed completion date.

Dismantling and Post-Event Transportation: The supplier shall be responsible for dismantling all exhibition booths upon completion of the event, carefully packing and protecting all components, and loading, transporting, and unloading them at the H4H organization’s designated storage facility. All costs associated with dismantling, packaging, loading, transportation, and unloading shall be included in the total contract price and shall not be charged separately.

Submission Instructions

Interested suppliers should submit their quotations using the official H4H RFQ document and include all required technical, financial, and company documentation.

The quotation must distinguish between the basic works and optional items. The full RFQ document and approved technical specifications shall govern the detailed scope of work.

H4H reserves the right to evaluate quotations in accordance with its procurement procedures and to accept or reject any quotation in accordance with those procedures.
