Description

Malteser International, the worldwide relief agency of the Order of Malta for humanitarian aid,  works in more than 25 countries in Africa, Asia and the Americas for people in need, regardless of their religion, origin or political affiliation. Its mission is to provide emergency relief as well as to implement rehabilitation measures and to facilitate the link between emergency relief and sustainable development. Christian values and the humanitarian principles of impartiality and independence form the basis of its work in the following areas: Relief, Reconstruction & Rehabilitation; Health & Nutrition; Water, Sanitation & Hygiene (WASH); Livelihood & Social Programs and Disaster Risk Reduction.
 
Malteser International is working in Iraq since 2014 and recently started the implementation of a new program in Ninawa funded by the Federal Ministry for Economic Cooperation and Development (BMZ). The program is about the Intervention for More Durable Assistance and Development (IMDAD) by building economic recovery, social cohesion and access to good quality health care and rehabilitative services, with a focus on the most vulnerable among the population in Sinjar, Talafar, Tilkief and Hamdaniya. The project mainly will focus on health and livelihoods sector with integrating social cohesion and gender sensitivity into the activities.

Logistic Assistant (50%)/ Driver (50%) (m/f/d) - National Position


As Logistic Assistant/ Driver, you will provide Logistical support/ driving services for the MI-Iraq program in the field office in Talafar.

RESPONSIBILITIES:
Logistics (50%)

  • Under supervision and support of the Logistics Officer in Erbil, initiate the procurement process following Malteser logistic guidelines. This includes: preparation of purchase request form; follow up of the procurement process for office and project items; delivery of procurement documents (quotations, comparative bid analysis, purchase order/contracts and receipts)
  • Coordinate with the finance department to request and clear advances and submit all the required receipts and supporting documents. 
  • Ensures proper filing of all relevant logistic documents (hard and soft copy)
  • Under supervision of the Logistics Officer (LO) in Erbil, maintain an updated list of suppliers
  • Coordinate fleet management to ensure that vehicles are managed correctly, being driven safely, maintained appropriately, that damages are reported, and ensure that vehicles internal equipment are complete and serviceable; and that usage of fuel is correctly supervised, and recorded
  • Liaise with the relevant authorities to process Malteser International work and submit the required documentation when needed, i.e. arranging housing letters etc. 
  • Regularly update vehicle schedules corresponding with the project activities
  • Prepare the monthly fuel consumption and maintain reports (vehicle & generator)
  • Make sure that all vehicles are handled and maintained in a proper way
  • Guarantee the maintenance of the office/team house in the field office
  • Prepare monthly timesheet/leave request form for other support staff (guards)
  • Prepare monthly work schedules for guards in coordination with local responsible parties
  • In coordination with the LO and the field officer conduct monitoring visits to partner projects and check items of procurement (e.g. livelihoods inputs)
  • Under supervision of the LO, ensure all assets are recorded, labelled and captured in the inventory list
  • Under supervision of the LO, update the inventory list bi-monthly.


Driver (50%)

  • Transport of all material, people and documentation from/to designated points according to the assignments given by Malteser International staff in accordance with safety and security rules and internal procedures
  • Ensure the security of goods and people in the driven vehicle, and the presence of all safety kits and related means inside the vehicle, making sure they are subject to use instantly, not expired and in a good physical state
  • Adhere to all traffic rules and regulations at all times, and reflect a good image and reputation about Malteser International at any time and in any place
  • Supervise the repairs and maintenance carried out by the dealer's workshop and in accordance with internal regulations and manufacturer schedules
  • Coordinate with the Logistic Assistant in Erbil to ensure all vehicle documents are up to date (registration, tax, insurance, clearance the violation of the traffic rules, etc.)
  • Ensure road worthiness of Malteser International, vehicles and completeness of emergency equipment according to checklist at all times
  • Ensure timely (re-)stocking of operating fluids and spare parts
  • Ensure proper filling of vehicle logbooks
  • Maintain a good appearance of the vehicle​
Qualifications & Preferred Skills

QUALIFICATIONS:

  • Diploma or University degree
  • 1-2 years of experience in the supply chain and administration field
  • At least 2 years’ experience driving with organizations
  • A demonstrated ability to multi-task skills
  • A clear understanding of procurement ethics and donor compliance is essential
  • Maintain polite and good communication with colleagues and visitors at all times
  • A valid driver’s license
  • A willingness to travel throughout the project areas in the assigned area of responsibility.
  • Ability to work as part of a team and coordinate with project personnel.
  • Good physical and mental health in order to perform adequately the corresponding duties
  • Be flexible to work long hours beyond working hours
  • Ability to work in a multicultural environment
  • Adherence to security protocols
  • Basic vehicle mechanic skills
  • Good proficiency in oral and written English
  • Full proficiency in oral and written Arabic
  • Good computer skills and strong organizational skills

CONDITIONS:

  • Start date: Depending on opening Office/TH in Talafar area (15-31 July)
  • Duty Station: Talafar, Iraq
  • Duration of contract: 6 months (extendable to one year)
  • Salary according to salary scale and qualification and experience
