Job Title: Supply Chain Officer 1 Level: B2 Duty Station: Iraq – Baghdad Office. Reports to: Supply chain coordinator Duration of Contract: 12 Month fixed-term contract with the possibility of renewal to an open-ended contract. Date of Issue: 8 May 2025 Deadline for applications: 22 May 2025 Objective: Supply Chain Officer is a key position based in Baghdad, ensures that requests are handled efficiently and effectively to meet needs in the field. S/he also makes information about potential or firm orders available to other logistics staff and those requesting services. This includes receives Supply Requests (SRs) through IRIS/JDE and handles them according to their priorities and lead times. Key Responsibilities: Order Management / Supply Chain • Receives, upload & works on attributed Supply Requests (SR) in JDE. • Each SCO responsible for their assigned CC and will then ensure that all info relevant to SR should be sent and received through STM, and duly filed. This includes correspondence with Customer. • Meets with the corresponding purchaser to clarify the sourcing of the items, its lead time and prices. • Ensures the correct item codes are used, if needed, change the codes and inform the customer Keep draft SRs as such, until the sourcing of all items and lead times in the order are clear. Same applies for SRs that are received as Field Requisition Orders despite they are received validated Manages the scheduled pick date, the promised delivery date according to the sourcing (local / regional purchase, WH delivery or upstream supply). • Systematically review SRs for accuracy, in communication with the customer, before submitting for approval • Establishes and maintains the documentation process for tracking and monitoring for All SPs. Updates and closes files • Ensures all relevant supporting documentation is attached and filed accordingly to the SPs files, check and stamp SPs, and ultimately its closures in systems. • Investigates, monitors and makes recommendations for delayed supply chain processes • Follow up with functional and financial approver so the SR is approved in due time • Drafts (SD/OD) • Liaises regularly with the purchasers to determine suppliers, deadlines ...etc. • Manages orders and requests until all lines of an order are fully dispatched and confirmed delivered. • Treats SRs for stock items, in Coordination with warehouse team and then follow on SO accordingly. • Follows up upstream SRs • Trains newcomers on IRIS • Follows up of goods confirmation for each line of SPs and subsequently its closure in system • To update SR tracking excel sheet, upload it in share driver for follow up • Key technical unite, to provides support to other users, facing technical problem, in IRIS or JDE • In charge of Service task management (STM) by acts as primary focal point for the logistics’ STM, ensure received messages in STM are processed in due time and monitor the open tickets to be closed in due time • Backs up for Erbil, Mosul and Baghdad SCOs if required. Reporting and Statistics • Channels all relevant information related to supply requests • Ensures JDE Orders Follow up table has accurate information and acts with other units to maintain the accuracy • Reports to Supply chain coordinator daily on any occurred problems, claims and unusual requests concerning open orders without delay • Providing reports by the statistics to line manager by the end of each month, with all the SR's that have been treated and their status if they have been sourced or still pending.
Education and Professional Experience required:
• Technical degree in logistics, administration or equivalent. • Good command of spoken and written English and the local working language. • Computer literacy; good knowledge of Microsoft Office. • Knowledge of enterprise resource planning software an asset. • 3 years previous experience in administration or within a supply-chain or logistics department. • Good knowledge of the supply chain.
