Job Purpose:
The Operation Assistant is part of the project operation team and support the STFM and OSM with operational administrative related work. The position require:
- Good knowledge on office administrative procedures.
- Excellent cooperating ability, both with national and international personnel.
- Good written and spoken English and Arabic.
- Familiarity with commonly used computerized software.
- Communicative, mature and responsible.
- Possibility to conduct work related travel to South Governorates.
General Responsibilities:
- Work within the framework of NPA core values
- Act as an ambassador for NPA, through professionalism and conduct
- Adhere to all NPA policies, regulations and procedures
- Maintain and care for all equipment issued by NPA and for any loss or damage, you will be liable for repair or replacement
- Follow all verbal and/or written instructions, unless in direct violation of safety and duty of care
- Ensure a safe workplace and protect all staff and equipment from damage/ injury
Responsibilities:
- Assist the STFM in operational administrative tasks.
- Assist the STFM in HR related administrative tasks
- Assist the NTS, TS and Clearance Team Leaders in any administrative tasks.
- Prepare and follow up on correspondences between operation and other to stakeholders such as Regional Mine Action Centre South.
- Focal point for collecting quarterly photos and beneficiary stories for donor reporting.
- Organise and maintain files of operational records and correspondence.
- Assist STFM in preparation of implementation plans.
- Assist DPM South in collecting photos and beneficiary stories from the operations teams with advice from the Programme Communications Officer.
- Prepare task dossiers for operational teams.
- Any additional duties as may be required.
Required Qualifications:
Must have:
- Bachelor’s degree in business or related or equal work experience
Desirable:
- Experience with communications, photography or media work
Experience:
Must have:
- 1 year experience in administrative office work
Desirable:
- Experience in working with International NGO`s
- Experience working with databases and GIS tools.
Other Qualifications:
- Familiarity with commonly used computerized accounting software
Personal Competencies:
- Ability to function under pressure with minimal supervision
