Description

 

Main Purpose

Carrying out specific technical and logistics works regarding his qualifications, according to INTERSOS procedures and his superior's instructions, to contribute to the construction, smooth functioning, cleanliness and repairs within premises.

 

Under the supervision of the Administrative Officer, the Logistics assistant will provide day to day support to the logistics activities in Baghdad Office as with the procurement and facilities management, fleet management, assets management and support of preparation of all needed documents for the logistics.

 

Reporting to:

Hierarchical: Admin Officer -Baghdad 

Functional: Field Manager - Federal Iraq 

 

Responsibilities:

The logistics assistant will provide assistant in the following areas:

  • Safety & Security Support
    • Coordination & Analysis: Assist the Safety & Security Coordinator/Manager with staff training, maintaining external security information networks, conducting security risk assessments and analysis, and ensuring prompt incident reporting to the HoM. Provide timely security information and contextual analysis.
    • Compliance & Liaison: Contribute to developing/updating critical security documents (SOPs, contingency plans), monitor staff compliance during field visits, act as the security focal point for Federal Iraq, and support KRI. Track expat/staff movements and follow up on JCC/JCMC approvals.

 

  • Logistics & Supply
    • Procurement & Contract Management: Manage the entire procurement cycle, including needs assessment, market analysis, soliciting bids (RFQ), supplier selection, securing approvals, receiving goods, and coordinating payments with Finance. Maintain all required procurement files/archives, oversee contract follow-up (end dates, extensions, performance), and contribute to local supplier prequalification.
    • Fleet Management: Ensure full implementation of fleet SOPs, provide daily base fleet management, maintain vehicle logbooks and maintenance checks, conduct regular spot checks for safety/equipment, and produce monthly fleet reports.
    • Facility Management: Oversee the provision and maintenance of essential facility services (utilities, internet) for the office, guest houses, and community centers. Manage and replenish stock of necessary consumables (cleaning products, stationery, fuel, Refreshments).
    • Store/Warehouse Management: Manage the full cycle of goods (receiving, stocking, tracking, releasing) in compliance with INTERSOS policies and documentation. Prepare storage plans, manage end-of-life stock removal/disposal, and assure warehouse security.
    • General Duties: Perform any other security or logistics-related tasks as assigned by the Administrative Officer or Field Manager.

 

Qualifications & Preferred Skills

Requirements

Professional experience

  • Minimum professional experience of 3 months to 1 year in procurement and supply, logistics, fleet management, and/or warehousing.
  • Work experience in the Security field is desirable.
  • Diploma or High school graduate.
